A hedge fund based in Miami, operating at the level of sophistication and pace you would expect from a serious investment manager. The team is tight, the standards are high, and the environment rewards people who take genuine pride in doing their job exceptionally well.

The Role

The CEO requires an Executive Assistant who can operate as a true extension of their office — not someone who manages a calendar and books flights, but someone who understands that their job is to protect the CEO's time, anticipate their needs, and ensure that nothing important is missed, delayed, or handled below the standard this environment demands.

You will be the first point of contact for the CEO's office. That means investors, counterparties, portfolio companies, and senior advisors will interact with you before they interact with the CEO. How you handle that matters. Presentation, judgment, and discretion are not optional extras here — they are the baseline.

What You'll Own

  • Complex diary and schedule management for a CEO operating across multiple time zones and priorities that shift without notice
  • Proactive gatekeeping — protecting the CEO's time and ensuring their day reflects what matters most, not just what arrived most recently
  • End-to-end travel management: international and domestic, private and commercial, often at short notice and subject to change without friction
  • Investor and counterparty liaison — handling inbound communication with the professionalism and discretion a hedge fund environment demands
  • Preparation of briefing materials, correspondence, and documents ahead of meetings and engagements
  • Coordination with internal teams across operations, investor relations, and finance on behalf of the CEO
  • Expense management, office management, and the operational detail that keeps the CEO's world running cleanly

Who We're Looking For

You have supported a senior executive — ideally a CEO, CIO, or Managing Partner — within a hedge fund, asset manager, private equity firm, or comparably demanding financial services environment. You know what this world looks and feels like from the inside, and you have operated within it to a high standard.

The right candidate will be exceptionally organized, completely unflappable, and the kind of person who solves problems before they are reported upward. You communicate with clarity and confidence, you handle sensitive information without needing to be reminded why that matters, and you take pride in an output that is correct the first time.

Miami-based and able to be in the office when the role demands it. The CEO's schedule will not always be predictable. Yours needs to flex accordingly.
